# Restaurant phone systems: connect calls to accurate pizza orders

Choose restaurant phone systems by separating VoIP, PBX, queues, answering staff, order consoles and voice AI, with POS handoff and total costs.

## Separate the call connection from taking an order

A phone system connects callers to the restaurant. A PBX manages business extensions and routing; VoIP carries calls over an IP network. An IVR presents menu choices, and a queue holds callers until a person or service answers. These functions do not by themselves select toppings, price a pizza or create an accepted kitchen order.

An answering service supplies people to handle calls under an agreed script and service level. An order-entry console gives your own agents the customer and menu tools. Voice AI handles a configured conversation and needs a defined path to an order or a person. Choose the combination by the problem: missed calls, long holds, inaccurate orders or overloaded staff.

## Specify numbers, lines, queues and the fallback

List store numbers, number ownership, portability, simultaneous-call capacity, extensions, opening-hour routing, IVR choices, queue behavior, transfers and voicemail. Confirm whether the offer counts users, devices, concurrent calls or metered usage; these are different purchasing units.

Test a caller choosing the wrong store, calling while the kitchen is closed, waiting through a full queue and being transferred. Decide who receives overflow and what happens when internet, power or the main endpoint fails. Ask the provider to demonstrate the exact fallback, number-porting process, service coverage and support response.

As an example of the telephony layer, [Twilio’s Programmable Voice documentation](https://www.twilio.com/docs/voice), reviewed October 21, 2026, lists call routing tools including IVR, queues and SIP. Those building blocks are not a ready-made restaurant order console or evidence of an Ordering.co voice connection.

## Buy an answering service by the work it completes

Agree whether the service only takes messages, answers hours and location questions, or enters a complete order. Specify opening coverage, languages, peak concurrent calls, training, menu updates, escalation and who handles complaints or inaccurate entries.

A message saying “customer wants two pizzas” is not an order accepted by the store. Ask where agents enter the order, how they confirm the price and payment, and how the kitchen sees it. Access permissions and customer-information handling must fit the actual workflow. Recording and payment handling need their own provider and local-requirement review; do not assume a standard call package settles them.

## Test the pizza order in the console

Have the agent identify the customer and correct store, confirm the delivery address or pickup choice, then enter size, crust, toppings, required choices, extras and quantity. Test the price of the combinations you actually sell, including half-and-half only if the proposed menu supports it. Read the order back before confirmation.

[Ordering.co’s Call Center](https://www.ordering.co/platform/ordering-call-center/) is a console for your own phone agents, with customer lookup, saved addresses, store selection and menu-based order entry. It does not mean Ordering.co supplies the people answering calls or the restaurant’s telephone carrier.

Map the resulting order to merchant intake and any supported POS connection. Confirm item/modifier identifiers, taxes, payment reference, status, cancellation and failure handling for your installation. The [POS directory](https://www.ordering.co/integrations/pos/) is a starting point; a listed brand does not prove every phone-to-kitchen field is supported.

## Give voice AI an explicit human handoff

Voice AI can guide a configured order conversation; it should have a clear route for unclear addresses, unavailable items, unsupported requests and customers asking for staff. Decide which system confirms availability and price, when payment is completed and what counts as a successful order.

Review [Ordering.co AI Ordering Agents](https://www.ordering.co/platform/ai-ordering-agents/) against the catalog, stores and service rules you need. Demonstrate the actual telephony connection and human transfer separately. A phone number, SMS login connection or voice API alone does not establish that ordering works end to end.

During a pilot, track completed accepted orders, corrections, abandoned calls and human transfers. A answered call or plausible conversation is not proof that the kitchen received the meal.

## Compare total cost and own each handoff

Include number and carrier charges, PBX seats or lines, call usage, devices and headsets, answering-service labor, order-console subscription, voice-AI usage, setup, POS connection, monitoring and support. Compare the same call volume, peak concurrency, service hours and completed orders; an unquoted usage charge is not zero.

Assign carrier problems to the telephony owner, queue and IVR changes to the routing owner, menu accuracy to the restaurant, entry mistakes to the agent-service owner and connector failures to the integration owner. Give staff one escalation path when an order is missing.

The shortest way to understand any of this is to watch an order go from a storefront to a store to a driver, on your locations.
